Contacts
A profile for every customer with their details, tags, and every trip, conversation and booking they've had with you.
Contacts is your agency's customer book. Every customer who talks to the AI agent on any channel is added automatically, and you can add customers who reached you by phone or walked in.
Open ContactsContact or lead?
A contact is the person: name, number and details. A lead is one sales opportunity (one trip). The same person can have several leads: Umrah this year and a honeymoon later.
The list
- Search: by name, phone or email.
- Source: the channel the customer came from (WhatsApp, Website, Manual...).
- Tags: show only customers with a given tag, like VIP.
- Export CSV: downloads the contacts currently shown (after filters) as a file you can open in Excel.
Each row shows the phone, source, tags, number of leads and Last contacted. Click a column header to sort. On phones the list becomes cards.
Tip
The list shows the first 500 only. If you have more customers, use search or filters to find who you need.
Adding a contact
- Click New contact.
- Enter the name (required), plus phone, email and source if you have them.
- Save, then fill in the rest from the profile.
If the customer is coming for a specific trip, it's quicker to add them from Leads; the contact is created along with the lead.
The contact profile
Click any name to open the profile.
Header
Name, when they were added, when you last contacted them, a WhatsApp button to chat from your phone, and an email button.
Below that, quick numbers: Total leads, Won, and Lifetime value (owners and managers).
Profile
Edit what you need and click Save:
| Field | Note |
|---|---|
| Name, phone, WhatsApp number, email, Instagram | The AI fills in name, phone and email on its own when the customer shares them |
| Owner | The teammate responsible for this customer |
| Source and Dialect | |
| Nationality, Country, City | |
| Birthday | |
| Passport expiry | Flyby warns you if the passport has expired, or expires in under 6 months (most countries refuse entry) |
| Tags | Type a tag and press Enter or comma. For example: VIP, repeat customer, Umrah, corporate |
| Notes | Anything lasting about the customer |
Use tags well
Agree on a fixed set of tags for the whole team (like "VIP", "Repeat customer", "Corporate", "Hajj 2027") instead of everyone inventing their own. You can then filter by them and export a list for a campaign or special offer.
Full history in tabs
| Tab | What's in it |
|---|---|
| Leads | All the customer's trips and their stages |
| Conversations | All their conversations on every channel (owners and managers) |
| Bookings | Their bookings, status and value (owners and managers) |
| Activity | Notes, calls, tasks and stage changes across all their leads |
Deleting a contact
The delete button is at the top of the profile, for owners and managers only. Deleting removes the contact along with all its leads, conversations and activity. Bookings and payments are kept so your accounts aren't affected.
Deleting can't be undone. If the customer just isn't interested right now, move the lead to Lost and keep the contact.
